Job Description

You will be working within our Metros & Civil Engineering division in Croydon reporting to a Project Manager and involved in a range of administration duties supporting the project teams in delivering projects.

Responsibilities of the role include:
  • Compiling, updating, and formatting reports and other documentation using typically Word, Excel and PowerPoint, and occasionally other software (for which training is available)
  • Managing and issuing project documents using tools such as Sharepoint as support to the Document Controller
  • Project administration tasks to support the Project Manager including financial reporting and resource timesheet reporting, using established templates
  • Arranging meetings, preparing agendas and minutes as instructed by the Project Manager
  • Communication with clients, suppliers and other Mott MacDonald staff to coordinate meetings, events and documentation
  • Organising team meetings and events
  • Deal efficiently and effectively with email and telephone queries including the screening of calls, taking messages, assisting with queries where appropriate
  • General project team support for aspects of facilities, hardware and stationary

Candidate Specification

You are likely to have a combination of the following:

  • You could be a recent graduate in social sciences or communications
  • Excellent MS Office skills, including Excel, Word, Outlook, Adobe and PowerPoint along with familiarity with using databases
  • You would have a high level of report writing and communications skills; with a minimum A level English
  • You can prioritise and work under pressure and be effective at time management
  • You are adept at establishing and maintaining good working relationships with colleagues and clients
  • Strong presentation and communication skills at a very competent level
  • Can show flexible approach to work, with possible visits to Birmingham
  • Good technical filing experience
  • You will be a “team player”
