Job Description

This position will be responsible for Divisional BMS compliance and administrative support with Mott MacDonald in the Iselin, NJ office. This position will require the following responsibilities:
  • Coordinate with portfolio and/or office BMS representatives within the company
  • Promote continuous improvement in the management of projects
  • Attend meetings as necessary and provide assistance with management reports on BMS
  • Part of this role is to liaise with staff on all IMS/BMS matters
    • providing training and support where necessary
    • guide staff on mandatory training
    • lead and coordinate internal auditing and external auditing by LRQI
  • Raise awareness of changes in the BMS system and STEP across the Division. This will include training and one-to-one support to project managers and directors as appropriate.
  • You will also support the Division manager in administrative tasks that could include
    • handling expense reports, contract approvals, invoices, timesheets and other administrative tasks
  • Answer the phone and direct calls as needed

Candidate Specification

Essential academic, professional qualifications and experience
  • Associates or Bachelors degree in Business Administration, Journalism, Communication or a related field
  • 0-4 years experience in a corporate environment
  • IT skills; You must be a confident user of software packages such as Word, Excel, Powerpoint.
  • Good communication skills both verbally and written communications.
  • Demonstrate ability to build strong relationships with team members at all levels and external clients.
  • Convey requirements to staff at all levels in a confident manner, and be prepared to work to tight deadlines at short notice.
  • Good organizational skills, accuracy and attention to detail.
