As part of our involvement in the High Speed 2 railway project we require a project information manager to join our team on a fixed term basis for 1 year. In this role your principal purpose will be to establish and maintain effective administration of the document, data and information management function on the Hs2 Phase 1 scheme.

Job Description

Maintain and demonstrate management of document, data and information that meets the requirements of ISO 9001/2000 and in compliance with company standards and procedures
Facilitate best practice that satisfies the practical, quality, legal, security, and assurance requirements of the employer, and the stakeholders, across the corporate and delivery teams
Provide the essential link between project controls, document control and engineering information through the common data environment

  • Responsible for defining, developing and delivering document management procedures that will facilitate effective capture, storage, control and delivery, of all formally released/issued documents and records across the lifecycle of the project
  • Agree and share information management protocols – select, set-up and join up with other systems. Hardware, software and communications infrastructure and protocols
  • To provide support to the project team in implementation of document management procedures and the management of
information exchange
  • Provide support, direction, guidance and training to ensure the document control systems are clearly understood and properly utilised by document controllers and administrators working within the project
  • Define, create and produce periodic KPIs and reports for different audiences as directed by the Project Manager
  • Propose recommendations for improving electronic content management system capabilities
  • Prepare support documentation and training materials for end users of document management systems
  • Champion best practice for combined project controls
  • Day-to-day reporting to Project Manager
  • Provide support and advice to the BIM Practice Manager and Senior Information Manager
  • Oversee the activities of project personnel about the correct use of document control processes, procedures and use of available tools/systems
  • Perform systems, data and process analysis to identify strengths and weaknesses in existing processes and understand the root cause of project issues specifically related to the use and management of information
  • Liaison with the BIM Practice Manager and Senior Information Manager to provide technology support
  • Participate in business and stakeholder events/workshops as requested by Group BIM Practice Manager to effectively gather and document information management requirements

Candidate Specification

For this role you will need a combination of the following skills:
  • Proven and practical experience of managing document control team and activities in a large organisation or a large multi-disciplined project, with multiple contracts and stakeholder interests
  • Technical competency to understand the value of the content with support from specialists
  • Able to challenge traditional ways of doing things and keeps abreast of developing technology in the document control field
  • Understanding of contractual data flow and it’s criticality for effective programme delivery during design and construction project phases.
  • Knowledge of document/information management tools and process
  • Methodical and analytical approach to work
  • Good communication and interpersonal skills across all organisational boundaries
  • Good people and relationships manager with team player/leader mentality and able to motivate, mentor and encourage
  • A positive outlook and attitude
  • Familiar with Project Management Methodologies such as PRINCE2® or similar
  • Prepared to be mobile, working in other MM and client offices as appropriate particularly Birmingham
