Job Profile

This is an exciting opportunity for an immaculate and experienced front of office specialist to support our local office support team in providing a five-star service experience to our clients, visitors, and staff at our flag ship office.

Job Description

The responsibilities of the role will include but not limited to the following:
  • Meeting and greeting guests in a polite, professional manner, ensuring that the company is represented to the highest standard with positive impact.
  • Managing security arrangements, signing in and out of guests and visitors issuing access passes where appropriate
  • Ensuring all visitors are aware of local arrangements for health and safety to include emergency evacuation and first aid
  • Responsibility for keeping accurate records of all statutory building documentation in compliance with IMS requirements.
  • Managing contractor visits ensuring they are expected and any works have been previously authorised by the Senior Administrator
  • Managing and monitoring performance of the central cleaning contract
  • Ensuring common areas/facilities are always maintained to a very high standard
  • Managing booking system for all meeting rooms and facilities
  • Managing switchboard calls through SKYPE for business
  • Checking that all equipment in meeting rooms is set up as requested and in full working order prior to meetings
  • Taking personal responsibility for the upkeep of the front desk and reception area maintaining high standards of tidiness and general presentation
  • Provision of catering and refreshments for meetings where requested
  • Act as appointed Fire Warden and emergency contact for any security issues
  • Specific divisional reporting duties as identified by the Senior Office Admin Manager. E.g driver mandate register, training register.

Candidate Specification

The ideal candidate will be looking to progress from an apprentice or trainee role with experience of working in a corporate front of house role within a professional consultancy or similar. Educated to a minimum of NVQ 3, ‘A’ level standard or equivalent.
