IT procurement specialist

Job Profile

Reporting to the IT project portfolio manager, working closely with procurement colleagues, IT service owners and other key stakeholders across the business; the role is to support the IT sourcing strategy and supplier management across all IT areas including software, hardware, applications, networks, professional services and outsourcing, in-line with the group's procurement strategy to deliver competitive advantage to the company through cost savings, lifecycle value generation, demand management and innovation.

This is a permanent full-time role and we can consider this role to be based in any of our offices - ideally where there is an IT or procurement community - Birmingham; Croydon; Cambridge; Glasgow; Manchester; Newcastle.

Job Description

You'll be responsible for supporting the IT category globally, in-line with the company’s policies, including procurement, ethics and sustainability to deliver the lowest total cost of ownership.

You key responsibilities and accountabilities will include:
  • Lead or be actively involved in all relevant negotiations, commercial contracts and supplier review meetings for specified suppliers/contracts.
  • Develop a scorecard of KPIs for all assigned IT suppliers, then use this in subsequent performance review meetings.
  • Monitor and capture the performance of assigned suppliers in relation to contracted key performance indicators and delivery of services. Engage or work with the IT management team and other relevant stakeholders to obtain feedback on the suppliers’ performance and feed back to the suppliers via regular performance review meetings.
  • Ensure all actions are captured and logged where appropriate and, based on fact based feedback, develop service improvement plans with the suppliers concerned.
  • Build strategic relationships with relevant key suppliers, ensuring structured management is in place and the suppliers are appropriately engaged to ensure best value.
  • Manage escalated issues between suppliers and the company, and coordinate key actions arising.
  • Work closely with the MM group procurement team to help manage the category and develop the annual category plan covering anticipated contract procurement and renewals.
  • Maintain and develop relationships with and between assigned key suppliers and relevant Mott MacDonald staff, to ensure they remain effective and compliant with agreed obligations, requirements and policies.
  • Represent procurement and provide input to the IT strategy & budget
  • Working with IT service owners, develop and implement the appropriate supplier governance structure ensuring effective supplier management
  • Ensure, where a supplier crosses multiple category groups that the overall supplier relationship is managed at the relevant level
Key performance indicators
  • Structured & monitored supplier management process
  • Calendar of service review meetings in place for key suppliers
  • Supplier scorecard in place for assigned key suppliers, reported regularly to relevant stakeholders
  • Where appropriate, develop the product range reflected in the MM IT service catalogue to streamline the purchasing process.

Candidate Specification

You'll need good experience in procuring IT hardware and software and ideally be CIPS qualified.

Essential competencies and skills:
  • Aptitude to work under own initiative;
  • Very good communication skills (both verbal and written);
  • Good level of English (both verbal and written);
  • Analytical;
  • Excellent customer service/interfacing skills;
  • Strong attention to detail and accuracy;
  • Ability to work effectively as part of a team;
  • Ability to organise workload and identify business priorities;
  • Proficient in the use of: Microsoft Outlook; Word and Excel;
  • Good planning and organisational skills;
  • A thorough understanding of business processes and workflow.
