About the Role
We are seeking an experienced Senior Document Controller to join our project delivery team. In this role, you will support the Project Manager in ensuring effective document management processes are maintained throughout the project lifecycle.
You will be responsible for managing project documentation, maintaining document control systems, coordinating technical submissions and ensuring compliance with project document management procedures. This role is critical in ensuring project information is accurate, accessible and issued in a timely manner to support successful project delivery.
Key Responsibilities and Duties are Listed, but not Limited to, the Below:
- Ensure all project documents are reviewed, processed and submitted on time prior to document submission deadlines.
- Manage document classification, sorting, filing, archiving and retrieval in accordance with Mott MacDonald document control procedures and quality requirements.
- Receive, register, scan and distribute incoming project correspondence and technical documentation.
- Maintain document processing turnaround times in line with project requirements.
- Distribute engineering, contractor and vendor documentation in accordance with project document management procedures.
- Receive, log, update and maintain Requests for Information (RFIs).
- Support project handover, close-out activities and document archiving processes.
- Undertake administrative duties including filing, copying, binding and scanning documentation as required.
- Maintain accurate records within ACONEX and other project information management systems.
- Support project teams by ensuring document control processes are consistently applied across the project.
- Support continuous improvement and digital ways of working, sharing knowledge and lessons learned.

Candidate Specification
Essential
- Diploma in Administration or a related discipline.
- Proven professional experience within the GCC region.
- Hands-on ACONEX experience.
- Strong IT literacy, including Microsoft Word, Excel and Access.
- Strong organisational skills with excellent attention to detail and the ability to effectively prioritise workloads.
- Arabic speaker with the ability to communicate effectively in English.
- Ability to work independently and perform effectively under pressure.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to communicate effectively at all levels, including external stakeholders.
- Ability to manage multiple teams with diverse cultural and geographical backgrounds.
- Commitment to maintaining high standards of accuracy, quality and confidentiality.
- Ability to adopt a proactive and solution-oriented approach to complex tasks.
Desirable
- Previous experience on major infrastructure or construction projects.
- Experience working within an international consultancy environment.
- Advanced proficiency in Microsoft Office applications, including Outlook, Excel, Word and PowerPoint.
- Knowledge of document management best practices and industry standards.
- Understanding of professional and international standards relating to project document control and quality management systems.
- Experience identifying and implementing process improvements and digital solutions.
