We are seeking a Senior Bid Coordinator to provide strong and reliable support to our Sector leadership team based in Sydney. This is a unique and strategic role that supports our Sector Leadership team locally, while also collaborating with the Asia Pacific New Zealand and Australia (APNA) Prospects and Submissions team to proactively contribute to work winning opportunities and in delivering strong submissions.    

 

As a Senior Bid Coordinator, you will independently lead small to medium bids and play a key role in major pursuits. Owning complex sections of submissions, such as methodology and value propositions, to bring clarity and impact to our message. Additionally, you will drive bid planning activities, including writing plans, review schedules, and compliance tracking. You will also provide quality oversight across all submission components, ensuring alignment with the bid strategy. This role will also have the opportunity to assist with: 

  

Prepare and coordinate proposals  

  • Manage the end-to-end preparation of bids to meet client requirements and deadlines  

  • Align every submission with our tone of voice, brand and quality standards  

  • Maintain SharePoint bid sites, with a responsibility for document version control   

 

Collaborate across the business  

  • Work with the Market and leaders to gather accurate, timely input for bid preparation  

  • Support Client Directors and divisional leaders in positioning for future opportunities  

  • Participate in bid meetings, including kick-offs, stand-ups, and reviews  

  • Keep the team informed and flag any identified risks early  

 

Craft high-quality content  

  • Write, edit and format CVs, case studies, summaries and cover letters  

  • Apply advanced layout and formatting skills using Word, PowerPoint, and Adobe Creative Suite  

  • Deliver submissions that are polished, error-free and clearly convey our win themes and value propositions  

 

Manage knowledge and systems  

  • Build and maintain a library of past proposals and reusable content  

  • Use CRM, Proposal Hub, and the APNA WIN Site to manage and track submissions  

  • Archive final submissions and extract content for future use  

 

Drive compliance and clarity  

  • Analyse tender documents to understand client needs and meet compliance requirements  

  • Support the development of compliance matrices and writing plans  

 

Support strategy and planning  

  • Facilitate and/or contribute to bid strategy sessions, setting clear timelines and responsibilities  

  • Help shape win themes and storyboards that bring our value to life  

 

Tools and systems that support your success  

  • Use value proposition tool documents to extract insights that sharpen our messaging and strengthen our bids  

  • Create professional, client-ready documents using pre-templated software like Microsoft Office and Adobe Creative Suite  

  • Stay open to new or pursuit-specific tools that help us work smarter and deliver with impact
