Job Description

Reporting to the Operations Director, this role holds primary responsibility for all administrative and facility management services of offices in India. The broad role of Office facilities manager will be to facilitate smooth operation & maintenance of all office facilities including security, housekeeping, maintenance of equipment’s and machinery including HVAC, lighting and other control systems, support equipment’s, adherence to various local regulatory compliances and overall facility appearance. The candidate will also be responsible for managing support staff, social events, pantry services etc. The principal accountabilities for this role are described as follows:

Principal Accountabilities
Will include, but not be limited to:
  1. Act as a single point of contact for all facilities management issues
  2. Understand the office facilities management scope and develop processes, procedures for efficient operation in all areas, including housekeeping, security, cafeteria, front office etc. in consultation with various stakeholders
  3. Regularly co-ordinate with BMS (Business Management System) representative on office safety issues including office safety audits, regular walk around with senior manager etc.
  4. Direct the activities of multiple external service providers providing facilities management services which will include setting up SLA (Service Level Agreements) & KPI’s (Key Performance Indicators); ensure adherence to checklists and statutory compliances regarding external service providers & their staff at all times
  5. Responsible for liaison with property owner, local bodies and ensuring compliances with all local regulations including registration under shop & establishment act & others as required.
  6. Set up a strong Management Information System(MIS) for evaluating & analysing any variance against budget and for ensuring proper controls in various areas
  7. Ensuring that facilities meet government regulations and environmental, health and security standards
  8. Responsible for implementing energy efficiency and cost-effectiveness
  9. Planning and overseeing building work/renovation required, if any, management of parking services etc.
  10. Responsible for managing Support staff (Pantry Staff, Drivers & others – both in house and external service provider staff), pantry services, seat allocations etc.
  11. Plan & manage in house or off site events i.e. celebrations, conferences, health & safety week/sustainability week etc.
  12. Provide logistic & other required administrative support to expats, visitors from other offices
  13. Responsibility for the management of company assets including furniture, electric equipment’s & other assets. Ensure that required insurances are in place
  14. Responsible for maintaining inventory control including stationary & other consumables; courier services, maintaining office vehicles etc.
  15. Manage and oversee maintenance of air conditioning systems, electrical and fire systems, plumbing and essential services; Maintaining all Annual Maintenance Contracts (AMCs) and Licenses as required under the laws.

Candidate Specification

  • Bachelor's degree or equivalent experience
  • 12+ years of experience in facilities operation management
  • Comprehensive understanding of property management practices, Knowledge of safety regulations; Demonstrated experience in building and facility management including building maintenance, services, and upgrades
  • Experience of managing a large multinational office/hotel/business premises
  • Knowledge of all statutory and regulatory compliances.
  • Effective communication and interpersonal skills. Well-versed with MS word & excel.
