Mott MacDonald is seeking an experienced Construction Contract Support Specialist to provide contract administration, documentation management, compliance monitoring, and project controls support for construction projects. The successful candidate will work closely with Project Administrators, Construction Project Managers, CEI staff, contractors, and FDOT/Municipal personnel to ensure project records, contract documentation, materials certifications, and reporting requirements are completed accurately and in compliance with FDOT, local agency procedures and specifications.

 

This position plays a critical role in supporting project delivery by maintaining contract records, processing documentation, assisting with pay estimates, monitoring compliance requirements, and supporting project administration activities throughout the construction lifecycle.

 

Key Responsibilities

 

Construction Contract Administration

  • Support administration of construction contracts in accordance with required specifications, procedures, manuals, and contract requirements.
  • Maintain project documentation and contract records.
  • Assist with contractor documentation reviews and contract compliance activities.
  • Track contract modifications, supplemental agreements, and change orders.
  • Support preparation and processing of monthly progress estimates.
  • Coordinate with client staff, contractors, and CEI personnel regarding contract requirements and documentation.

 

Documentation & Compliance Management

  • Maintain electronic and hard-copy project files in accordance with client requirements.
  • Review and track certified payrolls, EEO documentation, DBE compliance records, and contract submittals as required.
  • Monitor project documentation for completeness and accuracy.
  • Assist with documentation required for contract closeout activities.
  • Support records management and retention requirements.
  • Verify that required project certifications and documentation are submitted timely.

 

Project Controls & Reporting

  • Generate project status reports and documentation logs.
  • Assist with schedule tracking and contract milestone monitoring.
  • Maintain documentation related to materials acceptance and testing.
  • Track pay quantities and assist with quantity reconciliation.
  • Support preparation of client reports and project correspondence.
  • Monitor contract deliverables and support project audits.

 

Team Support & Coordination

  • Coordinate with Project Administrators, Senior Inspectors, Materials personnel, and client representatives.
  • Assist project teams with resolving documentation and contract administration issues.
  • Support project startup, ongoing administration, and project closeout activities.
  • Participate in project meetings and provide administrative and technical support as needed.

Required Qualifications

  • High School Diploma or equivalent required.
  • Associate's Degree in Engineering Technology, Construction Management, Civil Engineering, or related field preferred.
  • Minimum 5 years of experience supporting FDOT construction contracts, CEI projects, roadway construction, or transportation infrastructure projects.
  • Demonstrated knowledge of FDOT construction contract administration procedures.
  • Experience maintaining construction project records and documentation.
  • Experience working with FDOT, contractors, consultants, or public agencies.
  • Strong organizational and document management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams).

 

Required Certifications

Candidate must possess or be able to obtain the following FDOT certifications:

  • FDOT Advanced MOT (Maintenance of Traffic)
  • FDOT Construction Training Qualification Program (CTQP) Final Estimates Level I
  • FDOT CTQP Final Estimates Level II
  • FDOT CTQP Quality Control Manager (preferred)
  • FDOT CTQP Concrete Field Inspector Level I (preferred)
  • FDOT CTQP Asphalt Roadway Level I (preferred)

 

Preferred Qualifications

  • Experience supporting FDOT CEI projects.
  • Experience with FDOT SiteManager, AASHTOWare Project, or similar contract administration systems.
  • Familiarity with FDOT Specifications, Design Standards, Standard Plans, and Construction Project Administration Manual (CPAM).
  • Experience supporting project audits and contract closeout activities.
  • Knowledge of DBE compliance, certified payroll reviews, and EEO reporting as required.
  • Experience working on interstate, bridge, roadway, and transportation construction projects.
